Privacy policy

This policy explains what information Neugent AI LLC (“Neugent,” “we,” “us”) collects when you use Neugent, how we use and share it, and the choices you have. We do not sell personal information, and we do not use it for advertising.
1. Who we are
Neugent is a sales workspace operated by Neugent AI LLC, a limited liability company organized in California, United States. Questions about this policy or your information go to support@neugent.ai.
Businesses use Neugent to manage their leads, conversations, calls, and meetings. When a business (our “customer”) puts information about its own leads, contacts, and website visitors into Neugent, we process that information on the customer's behalf and under its instructions. For information about the people who sign in to Neugent, and for running our own business, we decide how the information is used.
2. Information we collect
Account information. Your name, email address, a securely hashed password (if you use one), your organization, your role, and, if you sign in with Google or Microsoft, the name, email address, and profile picture that provider shares.
Customer data. What a customer and its team put into or receive through Neugent: leads, companies, notes, tasks, campaigns, email and text messages, call recordings, transcripts and summaries, booking details, form and chat submissions, and files they import.
Information from connected services. When someone in an organization connects an account such as Google, Microsoft, a CRM, a form tool, or a phone provider, we receive the information needed for that connection to work. Section 4 explains the Google data in detail.
Website visitors of our customers. A customer can add Neugent forms, a chat window, or a capture script to its own website. What a visitor types into those, the page they were on, and campaign tags in the address are sent to that customer's workspace.
Usage and device information. IP address, browser type, pages visited, and actions taken, which we use for security, rate limiting, troubleshooting, and the activity log customers see.
Billing information. Payments are handled by Stripe. We store the customer and subscription identifiers Stripe returns and the plan, never full card numbers.
Cookies and local storage. We use a cookie to keep you signed in and browser storage to keep a website chat conversation open between pages. We do not use advertising or cross-site tracking cookies.
3. How we use information
- To provide Neugent: store and show records, send the messages and place the calls a customer sets up, book meetings, and keep connected services in step.
- To produce answers, summaries, drafts, and suggestions a user asks for, using the AI models described in section 5.
- To secure the service: authenticate users, keep each organization's data separate, prevent abuse, and investigate incidents.
- To support customers, send service and account emails such as invitations and password resets, and bill for subscriptions.
- To comply with the law and enforce our terms.
We do not sell personal information, share it for cross-context behavioral advertising, or use customer data to build advertising profiles.
4. Google user data
Neugent asks for access to a Google account only when a user chooses to sign in with Google or to connect a Google service, and only for the service they connect:
- Google sign-in (name, email address, profile picture): to create your Neugent account and sign you in.
- Google Calendar: to read your calendars' busy times so booking pages only offer times you are free, to list your calendars so you can choose which ones count and which one receives meetings, and to create, update, and cancel the events for meetings booked through Neugent.
- Gmail: to send emails you write or approve from your own address, to read replies in those conversations so they appear next to the lead and automatic follow-ups stop when someone answers, and, only if you turn it on, to read new form-notification emails in that mailbox so the enquiries they contain become leads.
- Google Tag Manager: when you ask Neugent to install its form capture on your website, to list your containers, add the Neugent tag in a separate workspace in the container you choose, and publish it.
Limited Use. Neugent's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular:
- We use Google user data only to provide and improve the user-facing features described above.
- We do not use it for advertising, and we do not sell it.
- We do not transfer it to others except to provide those features, to comply with the law, or as part of a merger or acquisition with notice to you.
- We do not use Google Workspace API data to develop, improve, or train generalized AI or machine learning models.
- People at Neugent do not read Google user data unless you ask us to for support and give consent, it is needed for security or to investigate abuse, or the law requires it.
Storage and removal. Access tokens for a connected Google account are encrypted before they are stored. Disconnecting the account in Neugent's settings deletes the stored tokens and stops all access; you can also remove Neugent's access at any time from your Google Account permissions. Emails and events that became part of a customer's records, such as a reply saved to a lead's conversation, stay with that customer's data until it is deleted.
5. AI features
Some features, such as the assistant, website chat answers, meeting briefs, and drafts, send the relevant information to AI models to produce a result for the user. We route these requests through Vercel's AI Gateway to model providers including OpenAI, Mistral AI, Google, and Anthropic, and we choose only models that the gateway lists as not using requests for model training. AI output can be wrong; people review it before it is sent, and customers can require approval before any message goes out.
7. How long we keep information
We keep account information while the account exists, and customer data for as long as the customer keeps it in Neugent. When an organization is deleted, its records are removed from our live database immediately; copies in routine backups are overwritten on our database provider's schedule. We keep limited records longer where the law requires, for example billing records.
8. Security
Information is encrypted in transit. Credentials for connected services are encrypted at rest. Each organization's data is separated at the database level so one organization cannot read another's, access inside an organization follows roles, and important changes are recorded in an activity log. No system is perfectly secure; if we learn of a breach that affects your information, we will notify you as the law requires.
9. Your rights and choices
You can view and update your account details in Neugent, disconnect any connected service, and ask us to access, correct, export, or delete your personal information by writing to support@neugent.ai. We will respond within the time the law requires and may need to confirm your identity.
If your information is in a Neugent customer's workspace, for example because you filled in a form on that company's website, that company controls it. Contact the company first; we will help it respond. Every automated email sent through Neugent includes a link to stop receiving them.
California residents have the right to know what personal information we collect, use, and disclose, to delete and correct it, and not to be discriminated against for exercising these rights. We do not sell or share personal information as those terms are defined in California law. People in the European Economic Area and United Kingdom can also object to or restrict processing and complain to their data protection authority.
10. Where information is stored
Neugent is operated in the United States, and information is stored and processed there. If you use Neugent from outside the United States, your information is transferred to and processed in the United States.
11. Children
Neugent is a service for businesses and is not directed to children under 16. We do not knowingly collect their personal information.
12. Changes to this policy
We will post any change here and update the effective date. If a change materially affects how we use your information, we will tell account owners by email or in Neugent before it takes effect. See also our terms of service.
